This privacy policy explains how we use any personal information we collect about you when you contact us by phone, email, letter, attend any of our events or when you use our website.

WHAT PERSONAL DATA WE COLLECT AND WHY WE COLLECT IT

We collect information about you when you fill in an online form to:

  • Sign up for email updates

  • Contact us

  • Complete surveys or provide feedback.

 

This information may include:

  • Name, role and organisation

  • Contact details including email address

  • Demographic information such as postcode and interests.

 

We collect material that you proactively post or contribute to our sites and any correspondence you have with us. You also have the right to complain to the ICO www.ico.org.uk if you feel there is a problem with the way we are handling your data.

We also collect information on your website usage through cookies, if your browser accepts them. Some of our websites feature tracking software – this means if you have filled an online form or have previously clicked a link in one of our emails, we may link your website usage information (such as pages visited, IP address, browser and device used) to other information we hold about you, such as your name and organisation.

When you contact us by email, letter or on the phone, we may also record this information on our customer relationship management system to help us process your request efficiently.

 
COMMENTS

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

MEDIA

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

COOKIES

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

We do not keep your information for longer than necessary. We keep financial information for seven years due to legal requirements, and we delete all other personal information from our customer relationship management system if we have had no contact with you for three years.

You have a right to stop us from contacting you for marketing purposes at any time. All marketing emails will contain unsubscribe links. You can also contact us at any time to request a change to your marketing preferences.

ACCESS TO YOUR INFORMATION

We will not charge you for this service unless the request is ‘manifestly unfounded or excessive or repetitive’.
